1. Information we collect
To manage AsianHOST 2026 registration, the production website may collect the participant's name, institution or affiliation, country, email address, phone number, registration category, IEEE membership number where applicable, accepted-paper details, student eligibility information, dietary preferences and other information supplied for conference administration. Visa-related information may be requested separately when necessary.
2. How information is used
Information is used to process and verify registration, associate author registrations with accepted papers, coordinate participation, communicate transaction outcomes, respond to enquiries, provide invoices on request, and meet applicable accounting or administrative requirements.
3. Payments
Payments are intended to be handled by an authorized third-party payment gateway. Payment-card credentials should be entered only on the payment provider's secure checkout page. The conference registration system may retain payment reference numbers, amounts and transaction status, but should not store complete card numbers or security codes.
4. Sharing and access
Registration information may be shared only as needed with authorized organizing committee members, IIT Kharagpur administrative teams and contracted service providers supporting registration, payments, notifications or compliance, subject to applicable obligations. Information may also be disclosed when required by law or lawful government process.
5. Retention and security
Personal information should be retained only as long as necessary for the stated conference, financial and legal purposes. The production system should implement access controls, secure transmission and appropriate safeguards. No website or electronic communication can guarantee absolute security.
6. Email notifications and status lookup
Participants may receive registration and payment-status emails at the address provided. A status lookup may require a registration ID and matching registered email address to reduce unauthorized access to registration details.

8. Demonstration website notice
The current GitHub Pages reference implementation uses sample data and may store demonstration registration information in the participant's browser. It is not connected to a live payment processor, email-delivery service or production registration database. Please do not enter real passport details, payment-card information or other sensitive personal data in the demonstration.
This is a proposed privacy notice for the registration flow. The production operator, hosting arrangements, retention periods, payment provider and statutory disclosures should be confirmed by IIT Kharagpur and the website developer before launch.
