Cancellation request deadline: Written refund or cancellation requests must be received no later than 5 December 2026, 11:59 p.m. IST. Requests received on or after 6 December 2026 will not be considered.
1. How to request a cancellation or refund
Cancellation and refund requests must be submitted in writing to Prof. Sarani Bhattacharya, Program Chair, AsianHOST 2026. Please email bhattacharya.sarani.iitkgp@gmail.com directly, with the subject “AsianHOST 2026 – Refund Request”. Include the registrant's name, registration ID, registered email address, registration category and payment reference to facilitate verification and processing.
2. Refund processing fee
Eligible cancellations are subject to a ₹5,000 processing fee. The balance, if any, will be refunded after verification and approval, through the applicable payment/refund channel. Actual credit times may vary by payment method and financial institution.
3. Requests after the deadline
Refund and cancellation requests received after 5 December 2026 (IST) will not be entertained. However, a registered participant may request substitution by another attendee who qualifies for the same registration pricing category. Substitutions require advance written approval and may be subject to verification of the replacement participant's eligibility.
4. Paper-linked registrations
If the original registration was used to satisfy the full-registration requirement for an accepted paper, any cancellation or substitution must preserve the requirement that the paper remains covered by at least one eligible full registration.
5. Visa and travel circumstances
Visa refusal, travel changes or inability to attend do not automatically waive the cancellation deadline or processing fee. Participants should contact the organizing committee promptly if they need assistance or wish to request a permitted substitution.
For refund-related correspondence, please retain your registration confirmation and payment reference. Refunds, where applicable, are subject to verification and the conditions stated above.
